About the Role
Reporting directly to the CEO, the Head of Operations plays a crucial role in our organisation overseeing the day-to-day operations, ensuring that business operations are efficient, effective, and aligned with the company’s strategic goals.
Working closely with the CEO and Management Team, you will be responsible for operations and ensuring compliance with regulatory standards. The role will involve leading and managing a team of dedicated professionals and involvement on a regular basis at board level. Principal Duties and Responsibilities
- Operational Leadership:
- Develop, implement and oversee operational best practices to enhance efficiency and productivity.
- Strategy Implementation:
- Work closely with the CEO and management team to develop, implement and measure strategic plans and initiatives.
- Team Management:
- Recruit, lead and mentor the operational teams in partnership with the line managers, ensuring alignment with company goals and objectives.
- Foster a culture of collaboration, accountability, and continuous improvement.
- Establish a leadership development program and succession planning process.
- Financial Planning and Analysis:
- Develop and implement financial strategies to drive organisational growth and sustainability.
- Lead the annual budgeting process, ensuring alignment with our mission and goals.
- Analyse financial data to provide insights and recommendations for optimising resources.
- Ensure the CEO, Board and its Committees are supported to make decisions by providing them with timely information and data.
- Financial Management:
- Develop and manage operational budgets.
- Ensure effective systems are in place for tracking and monitoring all aspects of revenue and expenditure within the organisation from invoicing to execution of payments.
- Monitor financial performance metrics and ensure profitability targets are achieved.
- 6. Payroll Management:
- Oversee the accurate and timely processing of payroll for staff, ensuring compliance with regulatory requirements.
- Manage employee benefits, deductions, and tax obligations related to payroll.
- Ensure adherence to payroll regulations, tax laws, and reporting requirements.
- Invoicing:
- Ensure the efficient management of invoicing processes, ensuring accuracy, timeliness, and compliance with contractual agreements.
- Monitor and track invoiced amounts, ensuring timely collection and proper revenue recognition.
- Build and maintain strong relationships with clients, addressing invoicing inquiries and ensuring customer satisfaction.
- Financial Reporting:
- Transparent Communication: Prepare timely and accurate financial statements for stakeholders, showcasing our impact and financial health.
- Regulatory Compliance: Ensure adherence to accounting standards, tax regulations, and reporting requirements.
- To oversee the achievement of successful internal and external audit outcomes.
- Compliance and Risk Management:
- Policy Implementation: Establish and enforce policies and procedures to mitigate risks.
- Risk Assessment: Identify potential risks and develop mitigation strategies to safeguard organisational assets.
- Regulatory Adherence: Stay updated on legal and regulatory changes, ensuring full compliance at all levels.
- Grants and Fund Management:
- Strategic Funding: Assist CEO with grant applications, reporting, and compliance to secure vital resources for our initiatives.
- Donor Relations: Cultivate relationships with donors, ensuring transparency, and stewardship of funds.
- Financial Stewardship: Manage funds efficiently, ensuring alignment with grant restrictions and organisational priorities.
- Stakeholder Engagement:
- Build and maintain relationships with key stakeholders, including clients, partners, and suppliers.
- Represent the company in external meetings, conferences, and events as required.
- Performance Metrics:

- Monitor key performance indicators (KPIs) for operational performance and progress towards achieving targets.
- Analyse data and metrics to identify areas for improvement and implement corrective actions.
- Support Functions
- Ensure the efficient resourcing and management of the support functions of the organisation (IT, Facilities, H&S)
- Coordination and delegation of tasks related to setting up new operational locations (IT, Facilities, H&S).
