Job Vacancy: Seaquest, a dynamic and innovative marine engineering company, is looking for a Receptionist / Administrative Assistant to join its busy team in Killybegs, Co. Donegal.
Due to continued expansion, we are seeking a highly organised and detail-orientated individual, with a professional and courteous manner, who will play an important role in ensuring the smooth day-to-day operations of our office.
Your responsibilities will encompass a wide range of administrative tasks that contribute to the overall efficiency and effectiveness of our company.
Reporting to the Office Manager, the successful candidate will be responsible for welcoming all visitors to the company’s premises, as well as being the first point of contact for those getting in touch with the office by telephone.
Another significant part of the role will be processing invoices to the purchase ledger.
Overview of the role
Duties will include:
- Answering the telephone and transferring calls to the relevant extensions, remembering the identity of the caller at all times;
- Monitoring arrivals at the front gate and welcoming visitors to reception;
- Maintaining a register of all visitors;
- Processing invoices to the purchase ledger after they have been matched to the corresponding purchase order(s) and delivery note(s);
- Reconciling statements from suppliers to the balances on the purchase ledger and following-up and resolving queries as they arise;
- Printing and filing invoices and supplier statements;
- Maintaining and dispensing stationery supplies, and placing orders when required;
- Filing of purchase invoices and supporting documentation;
- Photocopying and laminating;
- Organising refreshments; and
- Other general administrative duties commensurate with the position.
Essential skills
- Proficiency in Microsoft Office (Word, Excel and Outlook);
- Excellent communication skills, both written and verbal;
- Strong organizational and time management abilities;
- Attention to detail and a commitment to accuracy;
- Ability to multitask and prioritise tasks effectively;
- A positive and proactive attitude; and
- Discretion and respect for confidential information.
Desirable but not essential skills
- Experience of preparing and submitting VIES (VAT Information Exchange System) and Intrastat returns; and
- A working knowledge of Intact IQ, the company’s enterprise resource planning (ERP) software.
Training will be provided where necessary.
Hours of work: 9am to 5pm, Monday to Friday (Lunch 1.30pm to 2.00pm)
